Administrative Assistant

  • Job title – Administrative Assistant
  • Role type – Permanent full time (with option for role to be 4 days per week)
  • Based – In our office in Clerkenwell, London (please see our office access statement) (although we will be moving office within the next 6 months, location tbc)
  • Reporting to – Managing Director
  • Hours – 40 hours per week 10am to 6pm Monday to Friday with daily one hour lunch break (with option to work 32-39 hours per week)
  • Start date – ASAP

Salary and benefits

  • Salary – £24,579 per annum (pro rata if less than full time)
  • Annual leave – 20 days, plus bank holidays, plus one additional day's annual leave for each year worked at Artangel. The office is closed between Christmas Day and New Year's Day, these days do not come out of your entitlement
  • Employer pension contribution – 5%
  • Reciprocal agreements with many galleries and museums for free entry, including special exhibitions, in the UK and internationally
  • Cycle to Work Scheme
  • Hybrid working – this role will be largely based in the office but with some flexibility for hybrid working

Purpose of the Role

The Administrative Assistant plays a central role supporting a team of 12 people and managing the daily functions of a busy office.

With multiple tasks and deadlines to manage, they must be able to effectively prioritise their work, communicate confidently and be efficient and organised.

Specific Responsibilities

  • Provide administrative support to the Co-Directors and other members of the team

  • Act as the first point of contact for enquiries and perform general office duties such as dealing with phone calls, post and deliveries and managing office cleaning, maintenance and stocks of consumables such as stationery

  • Provide basic IT support, liaise with IT support company and manage team-wide services such as Adobe, Google, Zoom, Trello and Slack

  • Maintain GDPR-compliant database (Raisers’ Edge) and Mailchimp lists

  • Set up ticketing on platforms such as Eventbrite and TryBooking and manage bookings and enquiries from the public

  • Assist Co-Directors with research and development of projects and provide additional support for specific projects

  • Assist Development Manager with events, guest lists and invitations

Skills and Experience

Essential

  • Working in a supporting capacity in an office setting
  • Undertaking research in a professional setting
  • Ability to manage or learn to manage databases
  • Ability to use or learn to use ticketing platforms
  • Computer literacy and ability to provide basic IT support
  • Ability to organise and prioritise multiple tasks and deadlines
  • Ability to learn new skills quickly and independently
  • Confident communication skills
  • Willingness to collaborate and work closely with a team
  • Attention to detail
  • Interest in working in the arts

Desirable

  • Working for arts organisation of similar scale
  • Knowledge of database such as Raisers’ Edge or Mailchimp
  • Knowledge of ticketing platform such as Eventbrite or TryBooking
  • Knowledge of Adobe Creative Suite, Dropbox, Google Suite, Zoom, Trello and Slack
  • Experience of working in a paid or unpaid capacity in the arts
